Audio Visual Lighting

Projector, LED screen or video wall?

Choosing the right screen isn't simply about size. Brightness, viewing distance, content, venue conditions and budget all affect which display technology will work best for your event.

The quick answer

Should I use a projector, LED screen or video wall for my event?

Answer first

A projector is often practical for indoor presentations and screenings where lighting can be controlled. A direct-view LED screen produces a bright image and can be well suited to daylight, larger audiences and outdoor events. A video wall combines multiple display units to form a larger image. The right choice depends on the venue, audience, content and budget.

One important distinction: a video wall isn't necessarily a separate technology from LED. Video walls may be assembled from LCD screens or modular direct-view LED panels.

Before choosing, consider where the display will be used, how bright the environment is, how far away people will be and what information needs to appear on screen.

01 / Understand the options

What's the difference between the display types?

All three approaches display visual content, but they create the image differently. Understanding the basic distinction can help you have a more useful conversation with an AV supplier.

Projector

A projector directs light onto a projection screen or suitable surface. Commonly used for conferences, presentations, films, theatre and creative installations.

Direct-view LED

LED components produce the image directly. Modular panels can create large, bright displays for conferences, festivals, stages and outdoor events.

Video wall

Multiple displays or modules form a larger viewing surface. Video walls may use tiled LCD screens or modular LED technology.

What is a projector?

A projector produces an image on a separate surface. It can create a large display without needing a wall of electronic panels, although ambient light and projector positioning affect the result.

What is a direct-view LED screen?

A direct-view LED screen creates the image using LEDs built into the display. Large event screens are often assembled from modular panels, allowing different dimensions and configurations.

What is an LCD video wall?

An LCD video wall combines multiple flat-panel displays into one larger image. The boundaries between the individual displays can remain visible, unlike a properly assembled modular LED wall.

02 / At a glance

Projector vs LED screen vs video wall: how do they compare?

Here's a practical comparison of the main considerations for event organisers.

Consideration Projector Direct-view LED LCD video wall
Image creation Projected onto a separate surface Produced directly by LED modules Multiple LCD panels form one image
Bright environments May need high brightness and light control Often well suited to high ambient light Can work well in suitable indoor conditions
Large images Can create large projected images Modular and scalable Expanded by adding display panels
Outdoor use Often better after dark or in controlled light Outdoor-rated systems can work in daylight Generally used in protected environments
Viewing detail Depends on resolution, image size and distance Depends on pixel pitch, screen size and distance Depends on resolution, panel size and content
Installation Projector, screen and suitable light path Support, power and video processing Mounting, alignment and display control
Cost Often economical for straightforward uses Can involve higher equipment and set-up costs Varies by panel quantity and specification

Note: These are general comparisons, not fixed performance or price guarantees. The correct specification depends on your venue and requirements.

The best screen isn't always the biggest or most expensive. It's the one that makes your content clearly visible to the people who need to see it.

03 / Choosing the right option

Is an LED screen better than a projector?

Neither is automatically better. LED screens are often preferable in high ambient light, while projection can be highly effective in indoor spaces where lighting is controlled.

The correct choice depends on what you need to display, who needs to see it and the conditions of your venue.

When projection may work best

Indoor presentations, conferences, film screenings, theatre and events where room lighting and projection surfaces can be managed.

When direct-view LED may work best

Bright exhibition spaces, outdoor festivals, high-impact staging, large event displays and locations where ambient light is difficult to control.

Is projection suitable for a large conference?

Yes. Projection can work very well for conferences when the screen size, projector brightness, room layout and lighting conditions are suitable. Multiple screens may help in larger or wider rooms.

Should I always choose LED for a more professional appearance?

No. Both technologies can deliver professional results. A properly specified projection system may be entirely appropriate, while LED may be useful where brightness, display scale or particular staging requirements justify it.

04 / Daylight and brightness

Can I use a projector in daylight?

Yes, but ambient light can significantly reduce the contrast and visibility of a projected image.

A projector sends light onto a screen. When daylight or artificial light also reaches that surface, darker areas of the projected image can become harder to distinguish.

Can a projector work in a bright conference room?

It can, provided the projector, screen, image size and lighting conditions are suitable. Higher-brightness projectors and appropriate projection surfaces can help, but direct sunlight on the screen may remain challenging.

Can you use a projector outdoors during the day?

Outdoor daytime projection is generally difficult, particularly in direct sunlight. An outdoor-rated LED screen will often be more practical for daylight events. Projection can work well for outdoor cinema screenings after dark.

How many lumens should an event projector have?

There isn't one lumen rating suitable for every event. Required brightness depends on the image size, projection surface, ambient lighting, content and desired contrast. Projector brightness figures should also be compared using consistent measurement standards.

Practical tip

Before booking a projector, check whether curtains, blinds or venue lighting can be adjusted. Controlling light on the screen can make a significant difference to image visibility.

05 / Viewing distance

What size screen do I need for my event?

Screen size should be based on the distance between the audience and display, the seating layout and the content being shown.

A screen displaying simple images may have different requirements from one showing detailed spreadsheets or small text.

Audience distance

Think about both the nearest and furthest viewers, not simply the number attending.

Content detail

Detailed text and diagrams need to remain readable from the intended viewing positions.

Room layout

Screen height, sightlines, obstructions and side viewing angles all matter.

How far away can an audience see a screen?

There is no universal maximum viewing distance. Readability depends on screen dimensions, text size, resolution, contrast and viewing conditions. Large headings and simple graphics are easier to read at a distance than detailed tables.

Should I choose the biggest screen available?

Not necessarily. A larger screen can improve visibility but must fit the venue and be positioned appropriately. In a particularly wide room, two correctly positioned screens may provide better audience visibility than one central screen.

What if people are seated in different parts of the room?

Additional screens or relay displays may help in long rooms, wide conference spaces or separate seating areas. The objective is to make the content visible from the relevant audience positions.

06 / Image detail

What's the difference between screen resolution and LED pixel pitch?

Resolution and pixel pitch both influence image detail, but they describe different aspects of a display.

What is screen resolution?

Resolution describes how many pixels make up an image, usually expressed as width multiplied by height. Full HD is 1920 × 1080 pixels, while 4K UHD is 3840 × 2160 pixels. Higher resolution can provide more detail, although the benefit depends on viewing distance and screen size.

What is LED pixel pitch?

Pixel pitch is the distance between adjacent pixels on a direct-view LED display, measured in millimetres. A smaller pixel pitch means more pixels within the same physical area, which can provide greater detail at close viewing distances.

Do I need the smallest possible pixel pitch?

Not necessarily. Fine-pitch LED can be useful for close viewing and detailed content. For an audience further away, a larger pixel pitch may be entirely suitable and more cost-effective.

What should you tell your supplier?

Give the approximate distances to the nearest and furthest viewers, together with details of what will appear on screen. Those facts are more useful than requesting a particular pixel pitch without knowing whether it's suitable.

07 / Outdoor applications

What screen is best for an outdoor event?

An outdoor-rated LED screen is often a practical choice for daytime festivals and sporting events because it can provide a bright image in high ambient light.

However, the screen and its installation must be suitable for the location, weather conditions and intended use.

Visibility

Consider audience viewing distance, ambient light, screen position and content.

Installation

Allow for appropriate support structures, power, ground conditions and equipment access.

Weather

Use suitably rated equipment and agreed contingency arrangements for the conditions.

Can an outdoor LED screen be used in the rain?

Appropriately rated outdoor LED equipment can be designed for wet conditions, subject to its specifications and installation requirements. The screen, electrical distribution, connections and support structure must all be suitable for the environment.

Does an outdoor LED screen need a specialist structure?

Depending on size, weight, position and installation method, a suitable engineered support structure may be necessary. Temporary structures, lifting and rigging arrangements must be designed and installed by competent people.

08 / Performance and production

Can projectors and LED screens be used for live performances?

Yes. Both are used in theatre, concerts and live entertainment. The most suitable approach depends on the creative design, venue, lighting and technical requirements.

Projection for performances

Useful for projected scenery, creative backdrops, theatre effects and images integrated into scenic elements or surfaces.

LED for performances

Useful for concert backdrops, bright stage visuals, animation, graphics and live camera feeds.

Can projection be used on surfaces other than a normal screen?

Yes. Creative projection can use scenic elements, buildings and other suitable surfaces, although image geometry, brightness, projector positioning and surface properties need careful planning.

How do screens work with stage lighting?

The display and lighting need to be considered together. Stage lighting can affect projected-image contrast, while LED brightness can influence the balance of the overall stage design. Cameras and performers may introduce additional requirements.

09 / Technical requirements

What additional equipment might you need?

The screen itself is only one part of an event's visual system. Depending on what you're showing, additional equipment may be required to supply, control and distribute the image.

Playback equipment

Provides presentations, video and other visual content.

Video switching

Allows multiple sources to be selected and displayed.

Video processing

Configures and scales content for particular display systems.

Signal distribution

Connects computers, cameras, processors and displays.

Cameras

Capture presenters or performers for live feeds or recording.

Technical operation

Manages content, sources and cues during an event.

Can I connect my laptop directly to an event screen?

Sometimes. Simple presentations may only need a suitable connection, but compatibility, resolution, cable distance and switching requirements should be checked in advance.

Do I need a technician to operate a screen?

Not always. Straightforward presentations may be manageable once installed and tested. Events involving multiple presenters, live cameras or synchronised visual cues can benefit from dedicated video operation.

10 / Budgeting

Is an LED screen more expensive than a projector?

Often, but not always. A straightforward projection system may cost less to hire than a large modular LED display. However, total costs depend on equipment specifications and the work needed to install and operate it.

What affects event screen hire costs?

  • Screen dimensions and specification.
  • Hire duration and event days.
  • Brightness and resolution requirements.
  • LED pixel pitch, where applicable.
  • Mounting and support structures.
  • Delivery, installation and removal.
  • Electrical power requirements.
  • Video processing and playback equipment.
  • Technical crew and operation.

Can I save money by choosing projection instead of LED?

Potentially, if projection can deliver a suitable image in your venue. However, lower equipment cost isn't good value if the audience cannot see the content clearly. Discuss the lighting, audience and budget before deciding.

Choose for the application

The aim should be to select the most appropriate display for the job, rather than automatically choosing the cheapest or most technically advanced option.

A practical tip from Hillside

Hillside’s advice: choose for the venue, not just the screen size.

Audience visibility, lighting conditions and content all affect the choice between projection and LED. A more expensive display isn't necessarily the best solution for every event.

Frequently asked questions

Common questions about event screens.

Is an LED screen better than a projector for a conference?

Not necessarily. Projection can work very well in a conference room with controlled lighting. LED may be useful where higher brightness, display scale or particular staging requirements make it more suitable.

Can you use a projector outside during the day?

Outdoor daytime projection is generally challenging because ambient light reduces image contrast. An outdoor-rated LED screen will often be more suitable, particularly where sunlight cannot be controlled.

What's the difference between an LED screen and a video wall?

An LED screen creates images directly using LED modules. A video wall is a larger display assembled from multiple panels or modules. Video walls can use tiled LCD displays or direct-view LED technology.

What screen size do I need for 100 people?

There is no fixed screen size for 100 people. Viewing distance, seating arrangement and content detail are more useful factors. Detailed slides may require a larger or closer screen than simple video content.

What does pixel pitch mean on an LED screen?

Pixel pitch is the distance between adjacent pixels on a direct-view LED display, measured in millimetres. Smaller pixel pitches provide greater pixel density and can improve image detail at closer viewing distances.

Can an LED video wall be used indoors?

Yes. Indoor LED video walls are used for conferences, exhibitions, performances and installations. Fine-pitch LED can be particularly suitable where audiences are close to the display.

Do I need a technician for a projector or LED screen?

Not always. A simple presentation may only require installation and testing. Larger displays, multiple sources, live video or programmed performance cues may benefit from professional operation.
